Having been in marketing since 2006 and running a successful marketing business (Her Marketing Coach), Latesha Lynch isn’t new to running a business (or even getting her systems done up by me).
But Banked & Balanced — her solo date monthly mail club subscription — was something different entirely. She birthed the idea for this business in late August 2025, after getting sucked into the world of mail clubs thanks to her TikTok algorithm.
By October 2025, she’d launched it publicly. In November, she’d hired me to overhaul the systems (Systems Glowup) for her marketing business, but also decided to tack on bits of it for her mail club, even though it was only at 10-12 members.
That November Glow Up set the foundation: a way to track members, generate mail merge and shipping labels, and handle cancellations.
As the months went by, she tried to fix the logistical challenges that came with delivery.
As Latesha began delivering her mail to members, she found the logistical aspects quite mentally challenging as time went on. And she was struggling with it while still having only ten members.
This dilemma created the question, “But what happens when I have more?”
Because the question was never “if” but rather “when” new members came on board. And as she planned out her April relaunch, she knew there was a high probability of both new members coming on board and the torment of actually delivering what she promised.
“This is a logistics problem because I’m not a logistics person and never had a logistical business. Now I have inventory. I have to worry about things running out.”
The months prior, she’d started tinkering her way through a system that was mostly DIY (after the foundational stuff I created for her in November) that was working for the number of members she had at the moment.
“I use all these apps but some of them don’t have the native capabilities to talk to each other. So you end up bouncing from app to app trying to find the one that works exactly like you’re hoping it does.
And honestly, none of them do. So if you don’t have an Ashley, you’re kind of screwed or paying significantly more for the highest of the highest tier of every single app that you’re buying, which is not feasible starting a new business.
So, ahead of her relaunch in April, she decided to book a Systems Sprint with me — this time entirely focused on the mailclub. She also knew something the rest of the industry doesn’t talk about enough:
“It’s like, what if you go viral one day? Is your brand ready for you to go viral? Well, from an OPS perspective, will your business be okay, or will it have to shut down because you don’t have operations in place?
I knew it was going to be worth the upfront investment to have the satisfaction that the OPS was going to be okay, even though I couldn’t have imagined (the business) growing like this.”
Latesha knew exactly what was troubling her business operations. She didn’t come in with a fully mapped-out plan, but rather everything she wanted to happen, without needing to know how.
Latesha picked her implementation week and focus area — client delivery and operations. She recorded a Loom video walking through everything that was bothering her about the current setup and everything she wanted to be true on the other side, without worrying about the “how.”
“I liked the process because I could just word-vomit a bunch of things that I was hoping for, and I didn’t have to think about the steps.”

Based on Latesha’s video and what she was looking for, I immediately got to working out a plan of action for what her system fix-up would look like. This looked like all the apps, integrations, automations, and what I’d be complementing in her implementation week.
I then presented it via a video so Latesha could decide for herself if it was going to work for her, before making any changes based on feedback.
“Ashley’s really good at communication because she shows you what’s going on so it’s easier for you to kind of see if that’s what you envisioned.
She pitches different things to you and is always open to changing it to something better. But I think even her demonstrating it for you is really cool because it makes it really clear whether or not that thing is going to work for you.”
Now, 5 days is a lot but you have your Fairy God-muva, who’s an expert in every app and more importantly, getting them to talk to each other to create a system that reduces your workload, we get so much done.
“Ashley’s the kind of person you can trust to just do her job. You just learn to be really clear about what you want, like what you want, what would be ideal for you to feel happy and safe operating your business.
And then allow her to do her job. I feel like she’s better when she’s just left to her own devices.”
Latesha had been running gifted orders through Flodesk and everything else through ThriveCart. Two systems that didn’t talk to each other with neither of two having the full data the business needed.
I consolidated gifting, bulk orders, and standard subscriptions into a single ThriveCart setup, so every order type — however a customer came in — flowed into one clean system instead of three disconnected ones.
As her audience grew, so did the requests: gift a subscription, order in bulk, send something special for a member’s birthday, and so on.
I built the infrastructure to handle a ton of these one-off scenarios without adding a single manual step to Latesha’s to-do list — replacing the patchwork of separate checkouts, hand-typed gift messages, and manually tracked birthday reminders she’d been managing before.
Because Banked & Balance ships a physical product, orders now need to close once materials run out for a given mailing — not just on a fixed date.
So, I created a live widget for her website that shows how many orders are left for that month, and it directly connects to her Airtable base.
Address updates in Stripe or ThriveCart weren’t being pushed through to the shipping database, which meant a member could update their address and Latesha would never know. On top of that, an Airtable automation was duplicating member records every time someone updated their info.
I closed both gaps, so member records stayed accurate and singular no matter how someone updated their info or how many people were coming through the door.
That included fixing up her workflows inside Zapier and Thrivecart, connecting it to Flodesk, and her operation apps so it all flowed beautifully. One of the things I built for her was an automations tracker so she could view it at a glance.

With the Sprint, you get two weeks of post-implementation support. This means Latesha’s was wrapping up just as one of her TikTok videos went viral — which meant she was seeing more members coming in daily than she’d had in the previous six months combined.
It was a great way to pressure-test the system in real-time as new members came on board.
“I’m glad I had her, because as things were popping up, she came up with solutions on the spot.
I would just be naming stuff that hypothetically would’ve been nice for me. And she would be like, “Okay, let me see.” And she would come up with the thing.
And then she’s recording a little video to show me, “Is this what you were looking for?” And we could go back and forth.”
This was helpful as I built out a library of SOPs, blueprints, and videos for her (a deliverable that’s perfect for you or your VA).

What started as a relaunch of 13 members in April turned into 122+ by May, as Latesha’s TikTok video went viral across multiple platforms at once. (It’s now at 300+ as of July 2026)
Because the foundation was already rebuilt and stress-tested, the surge in orders didn’t turn into a surge in manual work.
Even though her orders nearly 10xd, Latesha didn’t have to bring on a team or outsource to handle the influx. Her system remembered things, printed things, sent her customers on workflows, and kept them in the know automatically.
“Without this, I would have been super duper stressed. I think I would have lost a lot of those people, I would have missed the birthday things, or be stuck doing stuff so manually that it would take so much more time.”
Whereas now, this is probably the fastest I’m going to be able to be without a team.”
To create a Zapier workflow, it wouldn’t be strange for it to take Latesha eight hours. But those eight hours spent trying to ease her operations were doing the opposite.
The cost was eight hours she wasn’t marketing, creating her content, and bringing more members into her mail club.
“It takes so much time, and you’re making mistakes, and you’re crying all day. After eight hours of playing with something, you could figure it out. Cool. But it took eight hours — which I don’t really have mentally.
My capacity for something that complex means I’m definitely not going to do any other work, because I’ve strained my brain on something I had no business touching in the first place.”
With the systems handled, that time and mental bandwidth go back where they belong — to running her audience and her offers, while everything else runs smoothly in the background.
Before, the only thing standing between her and a duplicate order or a mismatched name was her own memory of every single member.
A system that runs on a founder’s memory for names works at 10 members, but it often doesn’t survive membership growth. With the Airtable and checkout fixes in place, the system catches what her brain used to have to.
The one-off scenarios that used to eat hours — matching gift messages by hand, tracking down duplicate entries, chasing address changes — were gone.
“I know that I can just click a button if I need to fix something.”
She knew if her viral moment had happened without the changes to her system, it could’ve turned out for the worse for her delivery. Every address change or gifted order would have meant a potential customer service email, or worse, a member who never got what they paid for.
“That virality meant I was physically doing stuff all day, responding to every comment. I don’t think people understand that it physically takes all day and night.
I can imagine how much manual work, how many complaints I would have gotten, or edits that I would have to be paying attention to. If I didn’t have Ashley, I would have had to count on people reaching out if they didn’t get something.”
With founding members locked into one rate and everyone who joined after May 22nd at another, Latesha needed to see her real profit margins without doing the math by hand every time.
I built an Airtable interface that shows monthly growth, gifted orders versus recurring revenue members, and where her numbers stand — all in one glance.
“I have founding members who had a different rate, and then the rate went up after May 22nd. So when you’re calculating your profitability and profit margin, I need to be able to get the numbers quickly. I shouldn’t have to manually count anything in the table.”
She checks it multiple times a day now since the numbers didn’t move the same way as in her other business. And she loves how I built it inside Airtable for her.
“This is like my prize possession. If I can’t keep these people, it’s going to be stressful to keep up the profit margins. I need to notice growth or drop quickly, and if something’s off, I want to see it right away.”
“I think people underestimate a person who actually has a skill set versus someone who’s just a Dubsado setup person. Ashley is not that system setup person. When you have a vision for how you want your business to operate, she’ll figure out how to make that a reality.”
