What is Quarterly Planning?

Quarterly planning breaks the year into four 90-day chunks, giving you a chance to focus on what matters most in smaller, manageable timeframes. Instead of trying to tackle everything all at once, quarterly planning helps you zero in on key goals that actually move the needle.

It’s all about setting clear goals and creating space to actually make progress. You’ll avoid the burnout of trying to plan an entire year all at once and stay flexible enough to adjust as things change—because they always do.

Think of it like a road trip. Quarterly planning is your map, helping you figure out the next few turns instead of stressing over the entire journey. You’re still heading toward your destination, but you’re making intentional stops along the way to refuel, reassess, and make sure you’re on the right path.

The Struggle with Traditional Quarterly Planning Methods

Here’s the thing—traditional quarterly planning methods can feel like trying to squeeze your business into a box that doesn’t quite fit. And if you’re a service provider juggling clients, projects, and a million other tasks, that box can feel downright suffocating.

Too rigid: Pre-made templates can feel restrictive, especially if your business doesn’t fit the mold. It’s like trying to force a square peg into a round hole.

Overcomplicated: Some systems are so detailed that planning becomes a project in itself. Instead of making your life easier, you’re stuck trying to decode someone else’s process.

Out of sync: When you’re juggling a million things, sticking to a generic plan is tough. Life happens, clients have emergencies, and suddenly that perfectly crafted plan is out the window.

The problem with traditional methods is they don’t account for you—your goals, your business, or how you work best. And that’s where the frustration kicks in.

My Quarterly Planning Process

I’ll be honest—I’ve tried all the traditional methods. Fancy planners, complicated spreadsheets, you name it. But nothing ever stuck because none of them fit the way I work.

So, I built my own process that’s flexible enough to handle the chaos of running a business but structured enough to keep me on track. Here’s how it goes:

  1. Start with a brain dump. I get everything out of my head—client projects, business ideas, personal goals, all of it. No filter, just a massive list.
  2. Prioritize. I look at what’s urgent, what’s important, and what can wait. This helps me narrow down what actually needs my attention this quarter.
  3. Set realistic goals. I choose 3-5 key goals for the quarter. Anything more than that, and I know I’ll be overwhelmed.
  4. Break it down. Each goal gets broken into smaller tasks and milestones. This makes the big stuff feel way more manageable.
  5. Review and adjust. At the end of each month, I check in to see what’s working and what’s not. If something needs to shift, I adjust without guilt.

  4. Use tools that work for you. Whether it’s ClickUp, Airtable, or good old-fashioned pen and paper, choose tools that make planning feel easy and enjoyable.
  5. Review regularly. Set aside time each month to check in on your progress. Celebrate wins, learn from what didn’t work, and adjust as needed.
