Send a Welcome Guide Immediately Upon Signing to Set Expectations and Boundaries

The first step in my onboarding process is to send a welcome guide to my new clients. This guide includes specifics on my onboarding method and what they can expect when working with me. It also provides details about my business, such as my business hours and communication networks.

I use Dubsado templates to create my welcome guides. It makes it easy to customize them for each client while still setting them up to send automatically when a contract is signed. By sending a welcome guide, I set expectations and boundaries from the beginning, which helps ensure a smooth and successful collaboration between us.

In my welcome guide, I always include a questionnaire for my clients to complete. This questionnaire helps me to better understand their needs and goals, and it gives us a starting point for our kickoff meeting, which we’ll touch on in a bit.

After sending a welcome guide and questionnaire, the next step in my onboarding new clients process is to prepare their custom project hub in Kitchen.Co. This is where I manage all their project files. 

To prepare the custom project hub, I create a new project in Kitchen.Co and add my client as a member. Then, I work on customizing the project settings to fit my new client’s specific needs. This could include establishing deadlines or making personalized task lists. After the project hub has been created, I send my client the invite link and give them a quick orientation on how to use the platform. I want to make sure they are at ease using this product and aware of how it works with the rest of our project management procedures.

Send Homework and Schedule Kickoff Call

Now that my new clients have a welcome guide and their custom project hub in place, the next step is to send them some homework to complete before our kickoff call. Not the homework you remember from middle or high school, though 😉. This homework enables them to begin evaluating how we can work together to attain their goals while also assisting me in better understanding what they need and their objectives.

The homework I send varies depending on the client and their specific needs. It typically includes questions about their business, target audience, and goals for working with me. To help me grasp their needs and business better, I also ask them to give me any relevant files, login information, or resources.

Once my client completes their homework, we schedule a kickoff call to discuss their answers and start creating a game plan. We review their questionnaire and go over their goals and needs in further depth during this call. We also set project deadlines and milestones and begin formulating a future strategy for our collaboration. Custom Check-Ins and Resources Sent Before Kickoff Call

In addition to sending my clients homework to complete before our kickoff call, I also like to send custom check-ins and resources. These resources are tailored to my client’s specific needs to help them feel supported and informed throughout the onboarding process.

Custom check-ins are a great way to keep the lines of communication open with my clients. I typically send a brief email or message asking how they’re doing and if they have any questions or concerns before getting started. I also like to send my clients resources they can use to better understand my onboarding process and our collaboration. These resources can include videos, articles, and some of my blogs that provide helpful tips and advice. By providing these resources, I empower my clients to take an active role in the onboarding process and feel more invested in the project.

Utilizing custom check-ins and resources is a great way to show my clients I’m here to support them throughout our collaboration. By providing them with the resources they need to succeed, I build a strong foundation for our relationship and set the stage for a successful project.

Leverage Zapier

Another great tool that I use in addition to Dubsado is Zapier. If you’ve never heard of Zapier, it’s a workflow automation tool that allows you to connect different web applications and automate tasks between them. In today’s fast-paced world, automation is the name of the game! 

While Dubsado has certain automation within it, connecting it with Zapier and the other applications I use saves me and my clients tons of time. I use Zapier to automatically set up my new client’s Google Drive, mark them as booked in Dubsado, and drop the links to their client portal I set up in Kitchen.Co so they can access their projects easily. Using this automation in conjunction with Dubsado, Kitchen.Co, and my other applications help onboarding clients go as smoothly as possible for all parties involved.
